Our HCM Office (at Doji Tower, District 1), we are now looking for a HR&GA offer to join our Backoffice team in Vietnam.
This is an excellent opportunity for a candidate to join us as a pre-Senior level (depends on background and experience). We can offer a wide range of experience and career path to be a HR & GA (Office) Manager.

JOB RESPONSIBILITIES
As a HR & GA Officer, you will have a responsibility to manage our daily, monthly, quarterly and yearly routine operation smoothly and establish effective way to improve working efficiency together with your colleagues in Backoffice team (both in HCM & Hanoi office).

1. Support for Management & internal customers (such as Consultants) properly
2. Make corporate operation smoothly with cost effectiveness

Direct report to MD
Backoffice team: 3 in HCM & 2 in Hanoi
  • HCM - 1 Chief Accountant & 1 Sales Assistant (for Accounting & Reporting) in HCM office
  • Hanoi - 1 Office Administrator & 1 Sales Assistant (for JNS Business)
  • We have group HQ in Tokyo and Regional HQ in Singapore. This position requires to communicate with Tokyo & Singapore especially IT team and Marketing team remotely.
The role is demanding, diverse and involves:
[HR roles]
  • Leading “talent management and evaluation” such as appraisal process support, performance analysis, corporate benefits, several kinds of rewards and so on, including Document Management
  • Leading and handling on-boarding (or/and off-boarding) related matters such as documentation for ‘employment contract’, probational appraisal, VISA applications and renewals, employment proof, orientations, exit interview and so on
  • Leading TA matters such as own consultant / staff hiring support for other Managers by direct sourcing, posting jobs, arranging interviews, interviewing and so on
  • Leading L&D related matters such as update training manuals, planning new training, setting new regulations etc. Working together with MD will be expected as well
[General Affairs (Office management) roles]
  • Supervising office facility (repair and maintenance) including vender contract negotiation
  • Leading office relocation project (if it is necessary)
  • Leading company event organise i.e.) Year ends meeting/party (Dec) / monthly or quarterly gathering etc.
  • Support Biz trip arrangement for management
  • Leading legal & licencing related matter such as Agency License renewal, TOB (business related) management (including storage, documentation etc.)
  • Handling IT help desk roles to be settled together with our inhouse IT team in Singapore when some trouble and issues happened especially for database or network
  • Handling Data base system related roles (version change etc.) together with IT team in Singapore
  • Supervising internal communication tools such as Yammer or external communication tools such as LinkedIn.
  • Handling external communication tools such as sales tools and branding materials including gifts for clients
  • And any ad hoc Project lead and duties.

JOB REQUIREMENTS
  • Work proactively by proposing solutions to put ideas into action with limited guidance
  • Work with operational planning skills
  • Improve team and individual productivity
  • Lead projects and allocate tasks to junior members effectively (if necessary)
  • Degree holder in any disciplines with minimum 1-3 years relevant experience (Working experience at small sized entity is beneficial)
  • Excellent command of English & Vietnamese (not mandate but Japanese skill is a plus)
  • Excellent interpersonal and communication skills
  • Experience as a “mentor” or Manager is highly beneficial
  • Self-motivated toward wide range of roles and responsibility
  • Team player
  • Supportive mindset and character

BENEFITS
  • Salary: 13-20 Million (VND)
  • Parking allowance: 250,000 VND/per month
